Purpose of Processing
We process business contact information to identify and contact individuals who may have a professional interest in sponsorship, exhibition, speaking, partnership, networking, or related business opportunities connected with our events and industry activities.
Categories of Data
The personal data processed may include your name, job title, employer, business email address, business telephone number, LinkedIn profile information, and other professional contact details relevant to your role.
Source of Data
We obtain contact information from publicly available professional profiles on LinkedIn and other publicly accessible business sources, including company websites, business directories, previous business interactions, referrals, and event participation records.
Legal Basis
We process your personal data pursuant to Article 6(1)(f) UK GDPR. Our legitimate interest is promoting our events and related business opportunities, developing commercial relationships, and identifying potential sponsors, exhibitors, speakers, partners, and attendees whose professional responsibilities are relevant to such opportunities.
We have considered the nature of the data, the professional context in which it is used, the reasonable expectations of business contacts, and the safeguards implemented to minimise privacy impact. We believe our legitimate interests are not overridden by your rights and freedoms.
Recipients of Data
Your data may be processed by service providers assisting us with customer relationship management, event management, email communications, hosting, and business administration under appropriate contractual safeguards.
International Transfers
Where personal data is transferred outside the UK or EEA, we implement appropriate safeguards as required by applicable data protection laws, including the use of UK International Data Transfer Agreements (IDTAs) or equivalent mechanisms.
Retention
We retain business contact information for a maximum of 2 years from the date of last meaningful contact. This period reflects ICO guidance on retention for direct marketing purposes and exceeds the minimum standard required under UK GDPR. At the end of this period, data is securely deleted unless you have become an active business contact, in which case our standard business records policy applies. You may request earlier deletion at any time by contacting us.
Your Rights
Under UK GDPR you have the right to:
- Request access to your personal data
- Request rectification of inaccurate information
- Request erasure of your personal data
- Request restriction of processing
- Data portability where applicable
- Lodge a complaint with the supervisory authority
Right to Object
You have the right to object at any time to the processing of your personal data for direct marketing purposes. If you object, we will stop using your data for such purposes without undue delay.
Supervisory Authority
The supervisory authority in the UK is the Information Commissioner's Office (ICO). If you have concerns about how we handle your personal data, you have the right to lodge a complaint with the ICO:
